Internship Completion Certificate Template

The certificate most interns are actually there for — and the wording that makes it worth something to a university or a future employer.

For a large share of Indian interns the completion certificate is a formal requirement: universities ask for it against credit, and future employers ask for it as evidence. That makes it the single most important document you issue at the end, and the one most often produced as an afterthought in a template nobody edited.

A certificate that names the project and the actual work is worth considerably more to the intern than one that says "successfully completed an internship in our organisation" — and it costs you two extra sentences.

What a credible certificate contains

  • The intern's full name, as it appears on their university records
  • The exact start and end dates — universities check these against credit requirements
  • The role and the department or team
  • One or two sentences naming the actual project and what they did
  • The work mode, if remote — some universities require this to be stated
  • Signature, name and designation of a real person, not an unsigned block
  • Company letterhead, address and a contact for verification
  • A certificate reference number if you issue at volume

Everything in this certificate should be true and specific. A certificate that names the project is worth several times one that does not — and it takes an extra two minutes to write.

Issuing at volume without it becoming meaningless

The condition for issuing it — state this before day one

Write into the offer letter what earns the certificate: completing the agreed duration and the agreed deliverables. Certificates withheld on vague or shifting grounds are the most common complaint interns raise publicly, and the reputational cost on campus is out of all proportion to whatever the underlying dispute was about. If you set the condition up front and it is met, issue it without being chased.

Is an internship completion certificate mandatory in India?+

There is no statute requiring you to issue one, but most Indian universities require it from the student for academic credit, and most interns accept an internship partly for it. In practice, refusing to issue one for a completed internship costs you far more on campus than it saves.

What should an internship certificate say?+

Name, exact dates, role, team, one or two sentences on the actual project and work, and a signature from a real person with a verification contact. The project sentence is what turns it from a formality into evidence.

Can we issue a certificate for a remote internship?+

Yes. State the work mode explicitly — some universities require the certificate to say whether the internship was remote, and adding it prevents a follow-up request.

What if an intern leaves early?+

Do not issue a completion certificate, but do issue something: a factual letter stating the dates worked and, neutrally, that the internship ended early. Issuing nothing at all is what generates public complaints; a factual letter almost never does.

Should the certificate include a grade or rating?+

Generally no. Ratings on certificates invite comparison between interns and disputes about the rating, and they add nothing a university needs. Put the assessment in a separate written reference the intern can choose whether to share.
